A complete walkthrough of a transport request — from the moment a travel agency submits a trip, to the confirmed booking. Three roles, six steps, zero guesswork.
The customer submits a transport request
A travel agency, hotel or tour operator fills out a short form: trip type (transfer, daily rental, or multi-day tour), pickup and drop-off, dates, group size and any special requirements. Submitting is free and takes under two minutes.
- Single request or batch upload (CSV) for multiple trips

The admin team reviews and validates
Every incoming request lands in the admin queue. Our team verifies trip details, contacts the customer if anything is unclear, and ensures the request is realistic and well-formed before it goes any further.
- Filters out incomplete or duplicate requests
- Optionally negotiates budget with the customer
- Sets the request to ‘Ready to publish’ when validated
The request is published to approved partners
With one click, the admin pushes the validated request to all approved bus operators that match the trip profile. Only verified partners receive the opportunity — no random bids, no spam.
- Partners get an instant email + in-app notification
- Only operators approved by MyBusHub can see open requests
- Pending (unverified) partners can browse but cannot bid
Approved partners submit their bids
Each verified bus operator sees the request in their dashboard with all relevant details. They submit a price, optionally assign a vehicle, and add a short message describing what is included.
- Transparent, sealed bidding — partners don’t see each other’s prices
- Bid can include vehicle type, fuel/tolls/parking, driver languages
- Partner can edit or withdraw the bid until it is accepted
Admin selects the best bid and issues a quote
The admin reviews all bids, picks the best match for the customer, adds MyBusHub’s commission, and generates a professional PDF quote that is automatically emailed to the customer.
- Net price + VAT + commission calculated automatically
- PDF quote branded with MyBusHub, valid for a set number of days
- Selected partner is notified that their bid was chosen
Customer accepts — booking is confirmed
The customer opens the quote link, reviews the details, and clicks ‘Accept’. The booking is locked in: partner, vehicle, dates, and final price. Everyone gets a confirmation, and the trip is added to the calendar.
